1. Student Data Privacy

The Digital Clearance System collects essential academic data, including but not limited to your JAMB registration number, institutional email, CGPA, departmental clearances, and library status. This information is used solely for verifying your eligibility for graduation.

  • Academic Records: Data is fetched directly from the Central Registry.
  • Financial Status: Clearance from the Bursary requires access to payment history.
  • Third-party Sharing: No personal data is shared with external vendors without explicit consent.

Digital Signature Legalities

In accordance with the National Information Technology Development Agency (NITDA) guidelines, every digital approval stamp from a Departmental Head or Bursar within this system carries the same legal weight as a physical ink signature. Unauthorized use of administrative credentials for clearance approval is a punishable offense.

2. Clearance Eligibility Rules

Academic Standing

Students must have a "Passed" status in all core departmental and university courses to initiate the clearance workflow.

Financial Obligations

All outstanding tuition fees, library fines, and laboratory breakage fees must be settled via the official portal before final approval.

3. Data Retention & Protection

We employ industry-standard AES-256 encryption for all data at rest. Access to the Clearance System logs is restricted to authorized Information Technology Services (ITS) personnel and the University Registrar. Records are archived for 7 years post-graduation in compliance with institutional audit requirements.

4. Cookies & Tracking

The Platform uses cookies or similar technologies primarily for authentication, session management, and basic system monitoring. These technologies help ensure secure access and consistent user experience. Users may manage cookie preferences through their browser settings; however, disabling cookies may affect Platform functionality.

5. Third-Party Services

The Platform is hosted using third-party infrastructure providers, including cloud services. These providers may process limited technical data solely for hosting, deployment, performance monitoring, and system reliability purposes.

KWASU ensures that such service providers implement appropriate technical and organizational security measures in line with data protection standards.

In accordance with applicable data protection laws, you have the right to:

  • Request access to your personal data
  • Request correction of inaccurate or incomplete information
  • Request deletion of personal data where legally permissible
